Terms of Service

These Terms of Service govern your use of ClassFlow, a subscription software (SaaS) service for activity centres. This is a business-to-business agreement.

1. Definitions

  • "Service": the ClassFlow platform and its related website.
  • "Customer": the activity centre entering into these Terms.
  • "Authorised users": the staff the Customer permits to use the Service.
  • "Customer Data": the data the Customer enters into the Service.
  • "DPA": the Data Processing Addendum.

2. Acceptance of the Terms

By creating an account or using the Service you accept these Terms. If you do not agree, do not use the Service.

3. Business status and authority

You confirm that you are an activity centre/business and that the person accepting these Terms has authority to bind the Customer.

4. Account, users and security

You are responsible for registration, managing authorised users, and safeguarding access credentials. You must notify us of any unauthorised use.

5. Description of the service

The Service provides management of classes, students, instructors, schedules, attendance, assessments and related centre operations.

6. Free trial and subscription

The free trial currently lasts 3 months, allows up to 50 active students, and is available once per organisation. Adding further users or administrators does not create a new trial.

  • No payment method is required to begin the trial.
  • No automatic charge occurs when the trial ends; a trial never converts into a paid subscription by itself.
  • To continue on a paid plan you must actively choose a plan and complete checkout. A subscription starts only at that point.
  • ClassFlow may change or end this offer for future registrations. A trial that has already started keeps the end date assigned to it.

If you do not choose a plan, your account may become read-only when the trial ends. Customer Data remains available in line with the termination and retention terms below.

7. Plan limits and feature availability

Limits (such as active students) and available features correspond to your plan, as shown on the pricing page. We do not restate specific figures here so that they remain consistent with current pricing.

8. Fees, taxes, renewal and price changes

Automatic renewal applies only to paid subscriptions and begins after you choose a plan and complete payment. From that point, subscriptions renew automatically at the start of each period until cancelled. Prices may exclude taxes. Failed payments may result in suspension. You will receive reasonable notice of price changes.

9. Cancellation and refunds

You may cancel at any time. During the free trial there is nothing to cancel or refund, because no payment has been taken. For paid subscriptions, access continues until the end of the already-paid billing period and payments are non-refundable except where required by applicable law.

10. Customer responsibilities and acceptable use

You agree to use the Service lawfully and to ensure the accuracy of your data.

  • No unlawful, misleading or abusive use.
  • No attempts to disrupt, circumvent security or gain unauthorised access.
  • No entry of data without the necessary lawful basis.

11. Responsibility for data; administrative nature

You are responsible for the student, parent, instructor, health and children's data you enter.

ClassFlow is an administrative system and is NOT an emergency-response, medical-record, or medical-advice service. Centres remain responsible for their own safety processes and for the accuracy and appropriate use of emergency contact, allergy and medical-condition information.

12. Customer data ownership and licence

Customer Data remains yours. You grant us a limited licence to host and process Customer Data solely to provide the Service.

13. Confidentiality and data protection

Each party protects the other's confidential information. Processing of personal data is governed by the DPA, which is incorporated into these Terms.

14. Intellectual property and feedback

The Service and all related rights belong to ClassFlow. If you provide feedback, we may use it freely to improve the Service.

15. Third-party services

The Service relies on third-party providers. Their use may be subject to their own terms.

16. Suspension

We may suspend access in the event of non-payment, a security risk, or a material breach of these Terms.

17. Termination, export and deletion

On termination, you may export Customer Data within the 30-day retrieval period. Data is then deleted in line with the Privacy Policy and the DPA.

18. Service changes and availability

We may modify or improve the Service. We aim for high availability but do not guarantee a specific service level (SLA) absent a separate written agreement.

19. Warranty disclaimer

The Service is provided "as is" and "as available", to the maximum extent permitted by law, without implied warranties of merchantability or fitness for a particular purpose.

20. Limitation of liability

To the maximum extent permitted by law, neither party is liable for indirect or consequential damages. Our aggregate liability is limited to the amounts you paid for the Service in the twelve months before the event giving rise to the liability.

21. Force majeure

Neither party is liable for delay or failure to perform due to events beyond its reasonable control.

22. Changes to the Terms

We may update these Terms. We will update the date and, for material changes, provide reasonable notice.

23. Governing law and jurisdiction

These Terms are governed by the law of the Republic of Cyprus, and the courts of the Republic of Cyprus have exclusive jurisdiction.

24. General

These Terms, together with the DPA, are the entire agreement. If any provision is held invalid, the rest remain in effect. Failure to enforce a right is not a waiver. You may not assign these Terms without our consent.
